Stayantra provides a flexible, multi-tier SaaS model optimized for hotel operations of any size, from family-run guesthouses to enterprise hotel groups anywhere in the world.
Subscription Tiers
Stayantra plans are banded by room count. Every hotel's free public Marketplace listing is included on every plan, including free Base Camp.

Base Camp — 0–10 rooms, free.
- Smart Grid front desk, room rate & availability management, single-user PMS access, free Marketplace listing.
- Exubee (Co-Pilot/Auto-Pilot) is not available on this plan at any price.

Ascent — 0–25 rooms.
- Everything in Base Camp, online guest payment collection (eSewa/Khalti in Nepal, Stripe card payments), OTA channel sync (Booking.com, Agoda).
- No feature modules included, but any of the six modules below can be added à la carte. Exubee is available as a paid Co-Pilot add-on.

[!IMPORTANT] Co-Pilot and Auto-Pilot are a separate paid add-on on every plan from Ascent up — they are never bundled into the base plan price, and they are not available at all on Base Camp. Unlike the six feature modules below, Co-Pilot is not a self-serve dashboard purchase — enabling it on a hotel currently goes through the Stayantra sales/support team. See Co-Pilot & Approvals for how Exubee's recommend-and-approve workflow works once it's enabled.

Pricing is regional: USD internationally, INR in India, NPR in Nepal. Annual billing is discounted to 10 months' worth of the monthly price (2 months free).

Any feature module purchased à la carte is a flat USD 19 / INR 949 / NPR 1,499 per month, regardless of plan — no per-module discount at higher tiers, since Summit/Zenith/Everest already include the relevant modules.
Buying & Removing Feature Modules
The six feature modules — F&B & KOT, Channel Manager & OTA Sync, Guest Loyalty Marketplace, Procurement & Inventory, Reputation & Marketing, Advanced Analytics — are self-serve: an owner can turn any of them on or off directly from the dashboard, no sales call required.
- Base Camp cannot buy any module. Self-serve module purchase requires at least the Ascent plan.
- Buying mid-billing-period: switching a module on part-way through your current billing period charges a pro-rated invoice for the remainder of that period, payable online via eSewa or Khalti (Nepal) or settled through your manual invoice (international — see Payment Methods). The module activates as soon as that payment is confirmed — not before.
- Removing a module: turning a module off never cuts access immediately. Since the current period is already paid for, the module stays active through the end of the current billing period, and it simply won't renew after that. You can undo the removal for free at any time before the period ends.
[!NOTE] This self-serve flow is only for the six feature modules above. The Co-Pilot/Auto-Pilot add-on is handled separately by the Stayantra sales/support team — see the callout in Subscription Tiers.
Co-Pilot Usage & Fair Use
Co-Pilot is billed as a flat add-on fee (above), not metered by usage — there is no per-plan token allowance to track or upgrade past. Behind the scenes, Exubee's usage is protected by a generous fair-use ceiling that exists purely to guard against runaway or abusive requests, not as a revenue lever; a normally-operating hotel will never come close to it. If a hotel somehow did hit it, Co-Pilot would pause until the next cycle while core PMS features (Smart Grid, bookings, checkout, folios) stay fully operational.
Invoices & Automated Lifecycle Sweeps
Stayantra manages subscriptions through a set of scheduled background processes (invoice & lifecycle sweeps):
1. Invoice Generation Sweep
- Runs automatically at the end of each subscription period.
- Generates a new invoice (
subscription_invoices) withissuedstatus. - Uses pessimistic unique constraints (
subscription_id,period_start) to prevent duplicate invoice generation.
2. Lifecycle & Free-Expiry Sweep
- Evaluates active subscriptions:
- If a trial (
trial) has expired, it is transitioned topast_duestatus. - Generates the initial invoice for the upcoming billing cycle.

- Evaluates outstanding unpaid invoices:
- When an invoice is unpaid past its due date, the subscription status changes to
past_due. - A 14-day grace period is started.
- If the invoice remains unpaid when the grace period expires, the subscription is transitioned to
frozenstatus.

- Account Freeze: Under a
frozensubscription, write operations on bookings, folio checkouts, and AI actions are locked. The PMS dashboard becomes read-only until the outstanding invoices are paid.
Payment Methods & Collection
Nepalese properties can pay outstanding subscription invoices online using eSewa or Khalti.
- eSewa: Payments are initiated securely. Upon completion, eSewa redirects to our success callback, verifying the parameters against eSewa's signature validation using HMAC-SHA256.
- Khalti: Payments are initiated, and upon redirect, our webhook calls Khalti's server-side verification lookup endpoint to confirm the transaction status before releasing the subscription freeze.
[!NOTE] International properties are currently invoiced manually — online self-serve card payment for subscription invoices is not yet available. Our billing team sends the invoice and payment instructions directly, and marks it settled on receipt. (Guest payments at your hotel are unaffected — card checkout via Stripe works self-serve today; this note is only about your Stayantra subscription bill.)
